The short answer
The shortest workable plan: keep your passport, hotel address in Chinese, reservation and onward directions available offline; complete arrival formalities; connect if you can; choose transport that is still operating when you leave the terminal; and go to the exact hotel entrance. If you will reach reception after midnight, make sure your reservation covers the night that has already begun.

Your landing time is not your departure time from the airport. Immigration, baggage, customs, finding a connection and locating transport all take time. Build your first night around a realistic range of arrival times rather than a tight connection or an unverified last train.
Before departure: save a small offline arrival pack
Save screenshots or downloaded copies where you can open them without signing in again:
- Your hotel’s Chinese name, full address, map pin, entrance instructions and phone number.
- The reservation showing the property, guest name, check-in and checkout dates, and booking number.
- Your flight details and any airport pickup instructions, including the pickup point.
- A map of the airport-to-hotel route and one alternative; see maps in China.
- The payment methods you have set up and your provider’s support contact.
Keep the passport itself accessible, and make sure your phone has enough power for arrival. If an arrival card applies to you, use the China arrival card guide before departure. The National Immigration Administration says eligible travelers may fill in the card online in advance; those unable to do so may complete it at the port by the available electronic or paper method. Set up connectivity before leaving if your plan allows it, but keep the offline pack even if you have an eSIM. An installed eSIM, international roaming and airport Wi-Fi are different routes to a connection; none should be the sole holder of your hotel address.
At the airport: follow the order in front of you
Follow the signs and staff instructions for immigration and entry procedures, collect checked baggage, pass through the applicable customs channel, and only then arrange the final trip to your hotel. If you need help with a form or connection, use a staffed information point where available. Services differ by airport and terminal.
Shanghai Pudong, for example, reported information points, connectivity and payment support, and a passport-based airport Wi-Fi login option in April 2026. Those are Pudong-specific reported services, not a promise that another Chinese airport has the same facilities or that every service is open when you arrive. Shanghai municipal English site.
Once you are through arrivals, look at the current local time and your actual energy and connection status. That is the moment to choose transport.
Choose transport for the time you actually exit

Do not use a timetable remembered from another season or airport. Check the airport operator or transport provider for your airport, terminal and date, and ask at an official information desk if the last departure is unclear. If a rail or bus connection has ended, switch to a confirmed alternative instead of rushing to an empty platform. Show a driver the saved Chinese address and map pin. Before leaving, compare the destination on the driver’s device with your hotel branch. A matching brand name alone is insufficient if it has several properties in the city.
If you have no internet or cannot receive a bank SMS
Start with the offline address and reservation. Try an available airport Wi-Fi connection or your planned roaming/eSIM, following that provider’s setup instructions. If a login asks for a local number you do not have, ask airport staff what other official connection options exist; do not assume Pudong’s passport Wi-Fi method works elsewhere.
A bank verification SMS may fail even while mobile data works. Try the bank’s already enabled approval method, if it offers one, or a different previously prepared payment method. Avoid repeatedly attempting the same transaction while messages are delayed. If you need to reach the hotel, ask a staffed airport information point for help contacting it or use the phone number in your offline pack once a call is possible. If a payment fails—or its status is unclear
China’s official visitor payment guidance describes mobile payments, bank cards and cash as available categories. That does not guarantee that your particular card, account or transaction will work at every counter. Official source.
If you receive a clear decline, ask what payment methods the operator accepts and use a prepared alternative. If an app freezes or shows an ambiguous result, do not immediately pay again. Check the app’s order status and your card or wallet transaction record; ask the merchant or driver whether the order was received. Save the order number or screenshot. If your flight is delayed into the next calendar day
Check both the transport plan and the hotel dates as soon as the delay becomes clear. Send the hotel your booking number, flight number and revised local arrival date and time. If booked through a platform, put the same message in its reservation thread and check for a reply. Ask whether reception will be staffed and the room held under the booking’s no-show terms.
For example, a flight scheduled to land Monday night may bring you to reception at 02:00 Tuesday. If you need to sleep immediately, the reservation should ordinarily start Monday night, with the hotel told you are arriving after midnight. If your delay makes an entire reserved night unusable, do not assume it will be refunded or automatically moved. Ask the property and booking platform about the applicable terms and retain their written response. Recalculate any airport pickup too; the driver may have a separate waiting or cancellation policy.
At the hotel: finish the first night
Go to the exact branch and entrance on your reservation. Present your passport and booking details, and ask the desk to locate the reservation before making a second payment if its status appears uncertain. Hotels register foreign guests’ accommodation and submit the information to the local public security authorities. If you arrive before the hotel’s check-in time, ask whether a room is available early and whether there is a charge. If not, ask whether it can store your luggage and when you can return. Neither early check-in nor storage should be assumed. If the hotel cannot find your booking or cannot accommodate you, show its confirmation, contact the booking platform from reception, and secure another property’s confirmed room before traveling there.
FAQ
Should I take the last airport train after a late landing?
Only if its current schedule leaves enough time for your actual immigration and baggage process and you can complete the journey from its final stop. Keep a direct-ride alternative.
My phone has data, but my payment app wants a bank SMS. What now?
Use another verification method already enabled with your bank or a prepared payment alternative. Check transaction and order status before retrying an uncertain charge.
I arrive at 02:00. Do I book that date?
Book the preceding night if you need a room immediately at 02:00, and tell the hotel you will arrive after midnight. Verify its no-show and reception arrangements.
Can I depend on airport Wi-Fi, SIM sales or a service desk?
